Job Purpose
This role provides administrative support within a team (Key Commercial Accounts Team- KCAT) environment and involves regular interaction with customers and suppliers via phone and email.
You will deliver comprehensive administrative support while working in line with established processes and procedures to ensure a high level of service for both internal and external clients.
The role includes supporting day-to-day operations and project activities, such as data management, system updates, and coordination of logistical and planning requirements. You will be responsible for maintaining accurate and up-to-date client data within internal Ayvens systems, along with supporting general operational administration.
Working as part of the Key Commercial Accounts (KCAT) Department, you will provide support to one of Ayvens’ most high-value clients and play an important role in ensuring the smooth running of daily operations.
This role is based in our Leopardstown offices in Dublin
Tasks
To ensure the highest level of customer service in relation to:
- Handling day-to-day customer enquiries via phone and email, delivering a high level of service
- Providing general administrative support to the team (e.g. vehicle-related services such as fuel cards and tax discs, driver documentation, and system updates)
- Maintaining accurate client data within internal systems
- Managing your inbox and responding to queries in a timely and professional manner
- To provide accurate and consistent responses in line with agreed timelines
- Respond to all information requests in a timely and professional manner
- Liaising with internal teams to resolve queries and ensure smooth service delivery
- Pool Vehicle Management
- Supporting with reporting (weekly/monthly and ad hoc where required)
- Attending team meetings – managing meeting minutes and actions required
- Ensure that all procedures and processes are adhered to
- Undertake any reasonable role related duties which may be required from time to time.
Knowledge, Skills & Experience
- Must have at least 1 years’ experience in an administrative role
- Strong communication skills, both written and verbal, with a friendly and professional approach
- Customer-focused, with the ability to build effective working relationships across the business
- High attention to detail and a focus on accuracy
- Comfortable using Microsoft Office (Excel, Word, PowerPoint and Outlook)
- Enjoys working as part of a team and contributing to a positive, collaborative environment
- Well organised, with the ability to manage and prioritise a varied workload
- Takes ownership of tasks and follows them through to completion
- Shows initiative and is comfortable identifying improvements and suggesting solutions
- Able to manage time effectively and adapt to changing priorities
- Maintains a calm and positive approach when working under pressure
- Experience in the motor or fleet industry is beneficial, but not essential
